Item Intake

For warehouse and production staff

Why We Do This

We cannot sell, transfer, protect, or count what the system does not know we have. Every missing record makes honest people look bad and lets real losses hide. When every unit is logged the moment it arrives, the whole pipeline downstream works: stores get stocked from real numbers, swaps and warranties trace cleanly, and nobody gets blamed for a unit the system never knew existed.

The One Rule

Nothing crosses a threshold without a Lightspeed record. Arrives at the warehouse: intake record. Ships to a store: transfer record. No exceptions, no "I'll log it later."

Step by Step at Intake

  1. Every unit entering the building gets logged into Lightspeed the same day it arrives, before it moves anywhere else.
  2. Label the unit with its intake barcode: intake date, appliance-type code, sequential tamper-evident sticker number, and technician initials (example: 0705WMA1000067-DM).
  3. Photograph the unit at intake.
  4. Returns, donations, and trade-ins are intake too: log them the same day they come back, no matter how they arrived.

Transfers to Stores

  1. Every unit shipping to a store rides on a Lightspeed transfer record.
  2. The receiving store scans the unit in on arrival. Never sell a unit that was not scanned in, and never ring a sale as a negative-quantity override.

Why the Barcode Matters

The barcode ties every unit to a date, a type, and the technician who worked on it. That is how a warranty claim months from now traces back to the right unit and the right work, and how good work gets credited to the person who did it.
