Test Fail Reporting
For sales reps and store staff
Why We Do This
Every appliance is supposed to be tested before it sells. When a unit fails at your store and nobody logs it, the same problem ships out again next week and a customer inherits it as a warranty claim. Logging the fail gets the unit fixed, routes accountability to the technician who prepped it, and over time shows us whether the problem is a person, a process, or the appliances themselves. This protects you too: a logged fail is proof the problem started before your sale.
When to Use the Form
Any time a unit fails testing at your store, or a unit on your floor is found not working. Log it the same day you find it.
Step by Step
- Open the Test Fail form on the admin portal. Pick your name from the salesperson dropdown (your email auto-fills) and pick your store.
- Enter the appliance type and brand, and the full item number off the unit's intake barcode. The item number matters most: the technician initials on it route accountability automatically.
- Describe what failed and attach a photo of the unit (required; a second photo is optional).
- Submit. Log every unit; a fail with no record is a fail that repeats.
What Happens After You Submit
- The fail is logged to the master sheet and the office is emailed automatically.
- If the item number carries the responsible technician's initials, the unit lands on that technician's work order automatically, marked Test Fail - At Store, and the technician is emailed.
- Management reviews the fail and decides the outcome: fix, swap, or accountability.
Do and Do Not
- Do test-tag every unit on your floor.
- Do enter the complete item number, initials included.
- Do not quietly swap a failed unit out without logging the fail first.
- Do not sell a unit you know failed testing.
